Terms of Reference

UBC has an opportunity to inform and enable faculty, staff and student employees on the responsible use, benefits, risks and limitations of GenAI​. As such there is a need for a training strategy to achieve these goals. The purpose of this document is to outline the terms of reference for the GenAI Training Sub-committee at UBC. The working group will collaborate and align on a shared approach for delivering training to faculty, staff and students at both of UBC’s campuses.


Definitions

Target groups:  the three communities that are the targets of training in the domain of generative AI: 

  • Staff, for administrative uses
  • Students, for learning uses, and personal/career development uses
  • Faculty, for teaching uses 

Operating Principles & Alignments

  • Align with the GenAI steering committee and other related sub-committees to establish a shared understanding of ethical considerations, benefits, risks and responsible use of GenAI
  • Align with PrISM and UBC IT to determine when supported and PIA approved GenAI tools will be released to the broader UBC community, and plan training related activities and support resources accordingly

Objectives

  • Create an inventory of available resources for training for the target groups.
  • Establish a framework to inform and provide guidance and alignment for training and development initiatives
  • Establish an aggregation “hub” for Gen AI-related training and professional development resources and events for all target groups at UBC. Develop approach for integration of independently created targeted training and identify long-term business owner(s) for the project.
  • Identify appropriate resource owners for the creation of training materials directed at each of the target groups. Provide those owners with the inventory, framework, and approach to integrating materials into the hub as they are created and become available.
  • Periodically meet to refresh the specification of the framework and learning outcomes, and communicate out to the resource holders.

Deliverables

  • Strategy for completing the work of this committee
  • Framework/ideal landscape for training resources and training goals for the target groups
  • Inventory of available resources
  • Resource gap analysis based on target groups’ needs (identified by juxtaposing the inventory against the landscape/framework)
  • “Hub” website, aggregating the resources and competencies
  • Inclusion processes for contributing resources to the hub
  • Identification of permanent business owner(s) for overarching “hub” site
  • Identification of permanent lead for each target group training mandate
  • Handover process of “hub” site and associated processes to permanent owner(s)
